The university-wide telephone system is a state of the art Voice Over Internet Protocol aka VOIP. The provider for this service is Shentel, based out of Edinburg, VA. My old phone is still sitting on my desk, what do I do with it?
Please unplug and send it to Auxiliary Services via Campus Mail – 205 Cooley Hall.
I cannot reach the jack in the wall to unplug the phone cord, what should I do?
No need to worry about the old phone cord. Simply tuck it away and let it live happily ever after.

With the caller on the phone, press the hold button.
…transfer a call to another extension?
With the caller on the phone, press the transfer button. Then enter the extension, followed by the transfer button.
…transfer a call directly to voicemail?
With the caller on the phone, press the transfer button, then 8 plus the extension.
…change my ringtone?
Press the home button. Navigate to Settings using the round button and arrows. Then press 1, 4, Select. Find the ringtone you wish to use, making sure a checkmark is next to it. Then press Select again. From here, your setting is changed.
…turn my ringer volume up or down?
To change the volume of the incoming call ringtone, press one of the volume keys, located under the keypad numbers, while your phone is idle or ringing.
…have a conference call from my office phone?
- Call the first person
- From Lines or Calls view, press More and then Confrnc. The active call is held.
- Using the Dialer, call the second person
- When the second person answers, press More and then Confrnc to join everyone in a conference.
…view recent calls?
To view your recent calls, press the down arrow on the round button with arrows. All recent calls will be displayed. Note: To save a recently received number as a favorite, press the info button on the number displayed and then press save.
…forward a call to another extension or my cell phone?
Press the forward button at the bottom of the screen. Select the forwarding type (see bullets below) to enable. Enter a forwarding extension or number and press enable. To disable the forward function, press the forward button at the bottom of the screen. Select the forwarding type to disable and then press disable.
- Always = forwards all incoming calls
- No answer = forwards all unanswered incoming calls after a specified number of rings
- Busy = forwards calls that go unanswered because you are already on a call

How do I make a call?
The easiest way to make a call is to dial the numbers on the keypad before picking up the receiver. Put in the numbers for either the extension or full phone number (a 1 is needed in front of a number that is long distance), press the Dial button. Note: You have the option to pick up the receiver and dial, but there is a short window to dial the numbers before the dial tone times out.
How do I reach an internal extension?
Dial the four-digit extension.
Do I need to dial 9 before dialing an outside call?
No.
How do I dial a long-distance or international call?
- To dial long distance, you will need to dial a 1, then the area code, followed by the seven-digit number.
- To dial internationally, you will need to know the country code. Additionally, each country must be released by the phone provider. Should you have an issue calling or prior to making an international call, please contact Auxiliary Services at x5480 or auxservices@su.edu to check the status of the country you are trying to call.
What button do I push on the telephone to listen to my messages?
Press the envelope button next to the 7 key. Select Message Center. Press Connect and follow the prompts.
I have had the same PIN for years, is that still the one that I use?
No. All pins were required to be reset to a six-digit pin, as of September 5, 2019.
What is my PIN for the voicemail system?
As of September 5, 2019, all pins need to be reset to a six-digit pin. You will be prompted to finish initialization is you have not already reset your pin.
How can I change my voicemail PIN?
Follow the steps to access the voicemail system. Then, select the security option and follow the prompts.
I need to record my name and greeting; how can I do that?
Follow the steps to access the voicemail system. Then follow the prompts to record your greeting.
Can I record a second greeting for when I am out of the office?
Yes. Follow the prompts through the voicemail menu (option 3) and press 1 for personal greeting, press 2 for extended absence, and press 6 for out of hours.
The power is out in the office, can I still check my voicemail from my home/cell?
Yes. You may check voicemail by dialing 540-984-4000. Follow the prompts to enter your phone number and pin.

Send Calls to Voicemail
To send all calls directly to voicemail press the DND (which stands for Do Not Disturb) button. When finished, press the same button to remove the forward.

Do I take my phone with me to my new office?
- Please fill out this form if you are relocating to a new office
- If your new office is in the same building, you may simply swap phones from your new office to your old office.
- If your new office is in a different building, you must contact Auxiliary Services at auxservices@su.edu. They will need to make a behind the scenes change. Note: The reason for this, each phone is tied to a specified number for 911 purposes. Should you need to call 911 and have someone respond, they will respond directly to your building. Taking a phone from one building to another will only cause confusion for first responders.
How do I keep my old extension?
You may keep your old extension, as long as you notify Auxiliary Services that you are moving offices. They can make your new office phone become your extension. You will need to provide the MAC address to the phone. The MAC address is a series of numbers and letters located at the bottom of the phone. Please include your name, telephone number, old and new office room number, and the MAC address when contacting Auxiliary Services at auxservices@su.edu.

My extension is showing on the screen, but I have no dial tone…
Check the back of your phone to ensure the network cord is plugged into the left network jack on the back of the phone. Make sure this connection is plugged into the back of the phone and running to the wall network jack.
Everything is plugged in properly, but there is a blinking red triangle in the upper right corner of my phone. What should I do?
Press the numbers 1 3 0 at the same time on your phone and hold until “reboot initiated” allow the phone to completely reboot and please note if the red triangle has disappeared. Your phone should be working properly once the reboot is complete.

The MAC address is a series of numbers and letters, that begins with 6416, located on the bottom of the phone. Please also include your name and telephone number when contacting Auxiliary Services.
How do I get my phone to ring to my computer or cell phone?
Shentel has a soft-phone solution, MaxUC, that allows users to answer their office phone from their computer or cell phone. To receive this feature, please read and complete the Google form. Instructions will be sent on how to download and install.
